Software specifications: The name of our software is "Smart POS". It has been designed for all types of shop like Chain shop, Departmental store, Pharmacy, Book shop, Dealership business etc. It's a desktop application which supports multiple outlets with multiple counters. Some important features are listed below: 1. Property Management : • Company registration with necessary information like trade license number, TIN number, number of outlets and godowns, logo, report header/footer etc. • Setting up outlets, counters, Computers & hardware etc. • Godown (Warehouse) configuration. 2. Head Quarter Settings: • Head Quarter based configuration allows to control anything in the software, only authorized users can login to this module. • Through "Package Settings" the administrator or authorized user can define some sensitive issue like Costing method, back number of days, barcode prefix, Account settings for all types of transaction, item analysis criteria, Tax header etc. • Through PC setting its possible to define default printer and paper size, cash drawer port, login form type etc for all network pc individually. • Setting up Tax/VAT function, Discount policy, Goods return period etc. • Defining costing method (first in first out, last in first out, weighted average). 3. Accounts and Banking: • Integrated Chart of Accounts which is possible to modify or delete. • Easy to add new account group or head. • Cash, Card and Bank account definition. • Financial year controlling. • Default account settings for all types of transaction. • Adding multiple currencies and defining the exchange rates in three levels (Buying, Selling and Average rate). • Configuring bank accounts with opening balance. • Banking module supports multiple bank and account creation. • Deposit and withdraw entry with reference and account details. • Bank statement checking/printing for any period. 4. Inventory Management: • Item creation with colorful images (4 images) and search faster by using those. • Item category, Brand, Model, Size, Color, Measurement unit etc definition. • Auto generated item code, user defined item code, multiple barcode for the same item to search faster anytime anywhere. • Stock countable/non countable definition for every item. • Quantity in decimal blocking and unblocking system. It’s very important for some items like cold drinks, tea, coffee, juice etc. Using of this function is after selling any unit (suppose 1) no one can change the quantity to a decimal value (like 0.01) of any decimal blocked item. • Button creation facility (up to 999) for fast moving or barcode less items, which helps to sale the item by a single click or touch (for touch screen monitor). • Suppliers/Vendors item definition. • Opening inventory entry facility. • Stock will update automatically after doing any successful Purchase or Sales. • Stock verification and damage clearing anytime by authorized users. • More than 50 useful reports only for inventory. Category wise, Brand wise, zero stock, negative stock, with or without cost price and selling price etc. • Possible to check total inventory value anytime. • Taxable, non taxable and exempted item definition. • Up to 6 level selling price fixation. 5. Purchase and Suppliers : • Supplier creation with due period, taxable or non taxable, local or foreign etc. • Generate Purchase quotation and purchase order to any supplier. • Generate purchase bill directly to any supplier or from the Quotation and Order after confirmation. • International standard costing method supports to calculate the most accurate cost of any item after doing a purchase. • Purchase in cash or credit with the discount value. • Tracking purchase bills using Supplier name, supplier bill number, purchase person, purchase date etc. • Get all credit bills of any supplier by a single click to check the outstanding amount. • Supplier settlement supports multiple payment method (Cash, Bank, Credit/Debit card etc) • Opening purchase bill entry facility to starting the software with the previous outstanding of any supplier. 6. Customer Management : • Group wise customer creation (like VIP, friends, student, local etc). • Customer tracking by barcode, user defined code, contact number, national id or passport number, TIN number etc. • Due period and credit limit definition for each and every customer. • Common or individual discount card for all customers. • Account receivable and outstanding details checking. • Smart due recovery method (Bill wise, over all etc). • Automatic over due alert while opening the software (can be disabled). • Opening invoice entry facility to starting the software with the previous outstanding of any customer. 7. User and Security Management : • Software administrator can create user group randomly with the access permission of each and every module operations (New, Edit, Delete, Preview and Print) and can create users under any user groups. • No user can do anything without access permission. • There are some sensitive operations (like database backup/restore, day end, profit-loss checking, rate editing of items, discount policy etc) which are also restricted by different user groups. 10.
